Hatch Hatch LLC
This Cancellation, Refund, Waiver, and Release Policy applies to all Hatch Hatch LLC programs, including camps, workshops, classes, events, online programs, and other educational activities collectively referred to as the “Programs.”
By registering a child for a Hatch Hatch Program, the parent or legal guardian agrees to the following terms.
Cancellation and Refund Policy
If a family wishes to cancel a registration, the request must be submitted in writing to Hatch Hatch.
Unless otherwise stated for a specific Program:
Cancellations made 21 or more days before the Program start date are eligible for a refund, minus a $25 processing fee per registration.
Cancellations made 14–20 days before the Program start date are eligible for a 50% refund.
Cancellations made less than 14 days before the Program start date are non-refundable.
No refunds will be issued for missed days, late arrivals, early departures, or no-shows.
Approved refunds will be processed to the original payment method when possible. Processing times may vary depending on the payment provider.
Program Cancellation by Hatch Hatch
Hatch Hatch may cancel, reschedule, or modify a Program due to low enrollment, instructor availability, health advisories, weather, facility issues, safety concerns, or other circumstances beyond our reasonable control.
If Hatch Hatch cancels a Program, families may choose either:
a full refund, or
a credit toward a future Hatch Hatch Program.
Hatch Hatch is not responsible for any personal expenses related to a Program cancellation, including travel, lodging, childcare, or other costs.
Transfers, Credits, and Missed Classes
Families may request to transfer to another available Program session. Transfers are subject to availability and must be approved by Hatch Hatch.
Program credits, if issued, are valid for 12 months from the original Program start date unless otherwise stated.
Missed classes or missed Program days are not eligible for refunds, credits, or make-up sessions unless Hatch Hatch chooses to offer one.
Late Pick-up Policy
For in-person Programs, children must be picked up on time at the scheduled Program end time.
A late pick-up fee of $10 plus $2 per minute may apply after a 5-minute grace period.
If a parent or guardian cannot be reached, Hatch Hatch may contact the listed emergency contacts. For safety reasons, repeated late pick-ups may affect future enrollment.
Permission to Participate
I give permission for my child to participate in Hatch Hatch Programs and related activities.
I confirm that I am the child’s parent or legal guardian and have the authority to provide this permission. I also confirm that all registration, emergency contact, medical, allergy, and pickup information I provide is complete and accurate to the best of my knowledge.
Assumption of Risk
I understand that participation in Hatch Hatch Programs may involve certain risks, including but not limited to classroom activities, technology use, creative projects, hands-on STEM activities, art materials, basic tools, outdoor or indoor play, interactions with other children, and use of third-party educational platforms.
I understand that these risks cannot be completely eliminated. I voluntarily allow my child to participate and knowingly assume the risks associated with participation, to the fullest extent permitted by applicable law.
Waiver and Release of Liability
To the fullest extent permitted by applicable law, I release, waive, and agree not to sue Hatch Hatch LLC, its owners, officers, employees, contractors, instructors, volunteers, agents, partners, venues, and affiliated parties from claims, damages, losses, liabilities, costs, or expenses arising out of or related to my child’s participation in Hatch Hatch Programs.
This includes claims related to personal injury, illness, accidents, property loss, technology use, or participation in Program activities, except where liability cannot be waived under applicable law.
Medical Authorization and Emergency Care
In the event of an emergency, I authorize Hatch Hatch staff to take reasonable action to protect my child’s health and safety, including contacting emergency services, arranging emergency transportation, and seeking medical care if I cannot be reached.
I understand that Hatch Hatch does not provide medical insurance for participants. I am responsible for all medical costs related to my child’s participation in Hatch Hatch Programs.
Allergy, Food, and Medication Policy
I agree to inform Hatch Hatch of any allergies, medical conditions, dietary restrictions, or special needs my child may have.
For the safety of all participants, children may not share food during Hatch Hatch Programs. Families must avoid sending foods that contain peanuts, tree nuts, or other restricted items if Hatch Hatch communicates such restrictions for a specific Program.
Hatch Hatch staff will not administer medication unless a separate written arrangement has been approved in advance.
Photo, Video, and Student Work Release
Hatch Hatch may take photos or videos during Programs for internal documentation, family updates, or promotional purposes.
With parent or guardian consent, Hatch Hatch may use photos, videos, testimonials, or student work in marketing materials, social media, websites, newsletters, or other public materials.
Hatch Hatch will make reasonable efforts not to publish a child’s full name together with their image without additional consent.
Parents may opt out of promotional photo, video, or student work use by notifying Hatch Hatch in writing.
Technology, AI Tools, and Third-Party Platforms Consent
Hatch Hatch Programs may include the use of computers, tablets, educational software, websites, coding platforms, AI tools, design tools, or other third-party technology platforms.
I understand that some third-party tools may have their own terms of service and privacy policies. Hatch Hatch does not own or control third-party platforms and is not responsible for their independent practices.
I agree that my child may use age-appropriate technology tools as part of supervised educational activities. I also understand that AI-generated content may be inaccurate, incomplete, or inappropriate, and Hatch Hatch will guide students to use AI tools responsibly and safely.
Students should not enter sensitive personal information into any online or AI tool.
COPPA / Children’s Privacy Notice
Hatch Hatch is committed to protecting children’s privacy.
If a Program involves online tools or services that may collect personal information from children under 13, Hatch Hatch will seek parent or guardian consent as required by applicable law.
Photos, videos, audio recordings, usernames, student projects, or other digital content may be considered personal information under children’s privacy laws. Families should also review Hatch Hatch’s Privacy Policy for more information.
Behavior and Safety Policy
All participants are expected to behave respectfully and safely toward instructors, staff, other students, equipment, and Program spaces.
Hatch Hatch may remove a child from a Program if the child engages in unsafe, disruptive, bullying, harassing, discriminatory, or destructive behavior.
If a child is removed from a Program due to serious or repeated behavior concerns, Hatch Hatch may decline to issue a refund.
Indemnification and Hold Harmless
To the fullest extent permitted by applicable law, I agree to indemnify, defend, and hold harmless Hatch Hatch LLC, its owners, officers, employees, contractors, instructors, volunteers, agents, partners, venues, and affiliated parties from any claims, damages, liabilities, costs, or expenses, including reasonable attorney’s fees, arising from:
my child’s participation in Hatch Hatch Programs;
my or my child’s actions or omissions;
inaccurate or incomplete information provided during registration;
breach of this Policy; or
claims brought by or on behalf of my child, except where prohibited by law.
Acknowledgment of Understanding
I have read and understood this Policy. I understand that by registering my child for a Hatch Hatch Program, I am agreeing to important terms, including cancellation rules, assumption of risk, release of liability, medical authorization, technology consent, and privacy-related permissions.
I agree that this Policy is intended to be as broad and inclusive as permitted by applicable law. If any part of this Policy is found to be invalid or unenforceable, the remaining provisions will remain in full force and effect.
Governing Law and Venue
This Policy will be governed by the laws of the state in which the applicable Hatch Hatch Program is operated, unless otherwise required by law.
Any dispute arising out of or related to this Policy or participation in a Hatch Hatch Program will be resolved in the appropriate state or federal courts located in the jurisdiction where the Program is operated, unless otherwise required by law.
